HOW DO I REQUEST A VIDEO INTERPRETER FOR MY VIDEO CONFERENCING PLATFORM USING CONVO NOW?
Need a Video interpreter for your Zoom, Microsoft Teams, Google Meet, or any other virtual meeting? We’ve made it easy for you.
Complete the Interpreter Booking Form:
We will send you an interpreter booking form. When filling it out, make sure to include:
A link to your video conferencing platform (Zoom, MS Teams, Google Meet, etc.)
A brief summary of the meeting topic or context (e.g. team meeting, medical consult, job interview)
This information helps us assign the most suitable interpreter(s) for your meeting. Once submitted, our team will review your request and confirm interpreter arrangements.
Booking Guidelines & Policies
1.Book at least 24 hours in advance
Interpreter requests must be submitted at least 1 day before your meeting (weekdays only). Same-day requests are not guaranteed.
2.Weekend bookings
For Saturday meetings, please book by Friday.
3.Cancellations
Cancel at least 1 business day in advance to avoid being charged.
If cancelled less than 1 business day before the meeting, the full scheduled time will be deducted from your minutes.
For example, if your meeting is in the afternoon and you cancel in the morning, we won’t charge you. Cancellations made less than 2 hours before the meeting will still incur a charge.
4.Meetings over one hour
Meetings that are longer than 1 hour require two interpreters for team support, consistency, and quality service.
This means double the scheduled time will be deducted from your account.
Meetings under 1 hour will use one interpreter.

If your meeting includes specific terms or jargon, you can record a short video signing these terms and send it to us. This helps our interpreters match your signs accurately.
2.Meeting Context
Share relevant documents to help us understand the nature of your meeting. This could include:
PowerPoint presentations
Training manuals
Meeting agendas
Any other related materials
These resources help our interpreters prepare thoroughly and provide a smoother, more accurate interpretation during your session.

WHAT IF I CANNOT ABLE TO SEND THE RELEVANT DOCUMENTS TO THE INTERPRETER TEAM TO BE PREPARED BEFORE THE MEETING?
We understand that things can get busy, however, the information and specific terminologies are key for our interpreters to be prepared for your meeting. Here are the simple steps:
We encourage you to join 15 minutes before the meeting starts.
Provide the full context to the interpreters, and they can get familiar with your meeting.
HOW TO SET UP YOUR VIDEO CONFERENCING PLATFORM WITH A VIDEO INTERPRETER?
What is a Video Conferencing Platform?
A video conferencing platform allows people to connect via video calls for meetings, whether one-on-one or in large groups. Common platforms include:
Zoom
Microsoft Teams
Google Meet
These platforms allow you to see and interact with others on screen in real-time.
Make Sure the Interpreter Can See You Clearly
Before your meeting starts:
Camera ON: Make sure your camera is on so the interpreter can see you.
Good Signing Visibility: Sign clearly and stay within the camera frame. Avoid signing too low, too far to the side, or moving around a lot.
Lighting: Ensure your face and hands are well-lit for clear visibility.
You are always in control—if you choose to turn off your camera when you're not participating, that’s okay. But staying visible helps the interpreter connect and communicate with you more effectively.
How to set up the video interpreter to join your video conference meeting
For Larger Group or Conference Room Settings:
Solution 1: Use a Bluetooth Conference Speaker & Projection
Set up your meeting using Zoom/Teams.
Use a Bluetooth speaker with a microphone placed near the speaker.
If the room already has a mic, ask the sound technician to transmit the sound into the device connected to the online meeting.
Set up a screen near the Deaf participants so they can easily see the SASL interpreter.
If possible, project the interpreter onto a larger screen for full accessibility.
Solution 2: Use Two Laptops in the Meeting
Set up a Zoom/Teams meeting and connect two laptops:
Laptop 1 near the Deaf participants to view the interpreter.
Laptop 2 near the hearing speaker to capture their voice clearly.
Remind the speaker to stay close to the laptop and not move around, so the interpreter can hear clearly.

Here’s how to make sure you’re prepared and supported:
Step 1: Ask the company for an interpreter
Kindly ask the company to share their contact details with you so we can reach out and help arrange a SASL video interpreter for your interview.
If the company cannot assist, we’ll offer you a free two-hour trial for your job interview using Convo Now.
If your interview is successful, we encourage you to ask the company to subscribe to Convo so you’ll continue to have full communication access at your workplace.
Step 2: Prepare for the Interview in Advance
Please send us the following at least 24 hours before your interview:
Job interview date and time
The job title and brief description of the role
A copy of your CV or resume
A short video of you signing about your work experience and job position
This helps our interpreters prepare in advance so they can support you effectively.
Step 3: Check Your Setup on the Day of the Interview
Reception & Data: Make sure your mobile signal and data are strong. Poor reception often happens in basements or remote areas.
Wi-Fi Tip: Local or public Wi-Fi may be blocked or slow. Use your mobile data if needed for a better connection.
Test Your Internet Speed: Go to speedtest.net or Google “Internet Speed” and click “Test Speed.”
Join Early: Check your connection 10 minutes before and connect with the interpreter. Give them a quick summary about the job role.
